What data we process and why

When you submit a contact form on our website, we receive your name, email address, company name, and, if provided, phone number. We process this data based on legitimate interest (GDPR Article 6(1)(f)) — to contact you regarding the requested service.

Providing personal data is voluntary. If you choose not to, we will be unable to contact you.

Cookies and analytics

Our website uses:

Google Analytics 4 — website usage analysis. Activated only after your consent.
Microsoft Clarity — session recordings for website improvement. Activated only after your consent.
Meta (Facebook) Pixel and Conversions API — advertising performance measurement. The browser pixel runs only after your consent. After you submit a form, we send a server-side "Lead" event to Meta containing hashed (SHA-256) data (email, phone, name) along with your IP address and User-Agent — this enables accurate ad attribution while protecting your privacy. When an organisation starts a workspace or a trial in the portal (portal.mssolutions.lv), or asks for the portal link by email, we send Meta a server-side event with the hashed (SHA-256) email, name, country and workspace identifier, the IP address, the User-Agent, Meta's browser identifier and, when the visit came from a Meta ad, its click identifier, to measure advertising. An email you give us on this website is kept with the source of your visit for 90 days, so the portal can credit the right channel when your organisation starts a workspace.

Analytics and marketing cookies are used based on your consent (GDPR Article 6(1)(a)). You can change your cookie preferences at any time by clicking "Cookie settings" in the website footer.

The portal and SharePoint add-ins

When your organisation uses our customer portal and SharePoint add-ins, we process:

Sign-in with Microsoft: your name, work email address and your organisation's Microsoft 365 tenant ID.
Workspace users and roles: who in your organisation uses the portal and who is an administrator.
Billing contacts and invoices: company name, VAT number, billing email and payment history.
Usage records and email alerts: which actions were performed, how many credits were used, and the notifications we send you.

We process this data to perform the contract with your organisation (GDPR Article 6(1)(b)), as set out in our Terms of Service.

Card payments are processed by Stripe, which may process payment data in the US under the EU–US Data Privacy Framework and the EU Standard Contractual Clauses.

For documents signed with our add-ins and for signers' data, the customer is the controller on whose behalf the document is signed. We process this data on the customer's behalf under the Terms of Service. If you have questions about this data, please contact that customer first.

Contact form data is transferred to the CRM system Zoho, which may process data outside the EU. Data is stored on Microsoft Azure servers in Europe. Email notifications are sent via Azure Communication Services. Hashed conversion data is sent to Meta Platforms, Inc. (USA) for advertising performance measurement under the EU-US Data Privacy Framework.

Your rights

You have the right to:

request access to your data, its correction or deletion,
restrict or object to data processing,
file a complaint with the Data State Inspectorate (www.dvi.gov.lv).

Data retention

We retain contact form data for as long as necessary for communication purposes, but no longer than 2 years.

We keep portal and add-in data while your organisation's workspace is active and delete it within 60 days after the workspace ends. Invoices and accounting records are kept for 5 years, as accounting law requires.
